How Fresh Is a HubSpot Dashboard on an Office TV?
Two hours, if the board came out of HubSpot’s custom report builder. Forty minutes for analytics data. A manual refresh is capped at once every 15 minutes, and nobody walks to the TV every 15 minutes. A pipeline board that reads your deal records instead of a cached report is current when somebody looks up at it, which is the entire job of a screen on the wall. Here are HubSpot’s numbers and what to do with them.
The refresh rates, straight from HubSpot
HubSpot publishes these. You do not have to guess, and you should not take a signage vendor’s word for them either.
| What | How often it updates |
|---|---|
| Custom report builder reports | Every 2 hours, on their own |
| Analytics-based dashboard data | Every 40 minutes |
| Social clicks and interactions | Within 5 minutes |
| Manual refresh of a report or dashboard | Once every 15 minutes, by hand |
| New data showing up in a report | 10 to 15 minutes |
The wording in HubSpot’s own article on the custom report builder, last updated July 24, 2026: “Reports built with the custom report builder will automatically refresh with newly available data every two hours. However, you can manually refresh a report or a dashboard once every 15 minutes to retrieve new data.” The 40 minute and 5 minute figures come from HubSpot’s page on analytics update frequency.
For a Monday pipeline review those numbers are completely fine. For a screen on the sales floor, the operative number is two hours, because the manual refresh needs a person and the person is at their desk.
Reports cache. Records do not.
The two hour figure describes HubSpot’s report cache, not your CRM. The deal itself changes the second a rep drags it into Contract sent. Read the record and you get the record.
That is the whole design decision behind how Dance Party reads HubSpot. It connects over OAuth through HubSpot’s own remote MCP server with read-only access, and builds the board from deals, pipelines, stage names, owners, calls, meetings, tasks, and tickets. Not from a report somebody built in the report builder and scheduled. The screen refreshes on its own, and a change you push from the web admin lands on the TV in seconds.
Your stage names come from your pipelines, so the funnel on the wall matches the one your reps work in. No remapping.
HubSpot has no public dashboard link
Sharing a HubSpot dashboard gives you three options, and HubSpot’s article on sharing dashboards, updated June 12, 2026, lists all of them: email the dashboard, post it to a public Slack channel, or share the layout as a template so someone rebuilds it in their own account with their own data.
There is no read-only URL that renders your dashboard without a login. Which means the standard office TV move has nothing to paste. What happens instead is somebody signs a browser on the TV into a real HubSpot seat, clicks Actions, picks Full screen view, and walks away. By the following Monday the session has expired and the sales floor is looking at a login box with a Chrome toolbar over the top of it.
A paired Apple TV skips that entirely. You pair the box to your workspace once and assign the board from the web app at your desk. No seat burned on a television.
Three HubSpot boards worth a wall
Type the sentence, the DJ Agent builds the dashboard, you assign it to a screen. These three earn their space.
- Pipeline by stage. “Show our HubSpot sales pipeline by stage with deal count and amount, and flag deals closing this month that are still open.” The pipeline review happens once a week. The screen makes it happen all week, so a stalled Contract sent stage is visible on Tuesday instead of at the forecast call.
- Closed-won against the number. “Show HubSpot closed-won revenue this month against a $250K goal, and celebrate each new closed-won deal with the owner’s name.” A number on a slide gets seen once. A running total by the coffee machine gets seen by everyone, and a new logo shows up the minute the deal moves.
- Activity leaderboard. “Rank our HubSpot owners by meetings booked this week, and show calls logged today next to each name.” Outcomes lag. Activity does not. Meetings booked tells a manager on Wednesday whether Friday lands.
Six metrics per screen is the ceiling. Past that nobody reads any of them, which is covered in the office TV dashboard design rules along with the text height arithmetic for a 20 foot room.
Read-only, and nobody on the floor needs a seat
The HubSpot connection is read-only. It reads what your HubSpot user can already see and cannot create, edit, or delete a record, move a deal stage, or send an email. You approve it on HubSpot’s own sign-in screen. There is no API key and no private app to create, and you can cut it off from HubSpot’s Connected Apps whenever you want. One workspace connects one HubSpot account.
HubSpot is one of 55 read-only connectors you turn on yourself, so the same screen can carry Stripe revenue or a GitHub deploy count next to the funnel. The HubSpot integration page lists every object it reads.
The hardware, as of this week
Apple announced a new Apple TV 4K on October 13, 2026. Apple says the A19 chip delivers up to 50 percent faster CPU performance than the previous generation, and the box is available starting November 13. It is $299 for the single 128GB configuration, up from $199 for the 64GB box it replaces.
You do not need the new one. The second and third generation Apple TV 4K both run tvOS 27 and both drive a dashboard fine. If you are buying a screen for the sales floor this quarter, order the new box. If there is an old one in a drawer, use that.
Side by side
| HubSpot dashboard on the TV | Dance Party screen | |
|---|---|---|
| How the numbers get current | 2 hour report refresh, 15 minute manual | Reads the records, refreshes on its own |
| What runs on the TV | A browser signed into a HubSpot seat | A paired Apple TV app |
| Public read-only link | None | Not needed, the screen is paired |
| Building the board | Report builder, widget by widget | One sentence to the DJ Agent |
| Changing it from your desk | Walk to the TV | Push from the web admin, seconds |
| What else fits on the screen | HubSpot reports | Any of 55 connectors, plus celebrations |
| Deal-close celebration | No | Yes |
The bottom line
HubSpot is an excellent CRM and its reporting is built for people sitting at a laptop. 306,446 companies ran on it as of June 30, 2026, per HubSpot’s Q2 2026 results, and almost none of them have the pipeline on the wall. The two hour report cache and the missing public link are why.
Read the deal records instead and the arithmetic changes. Connect HubSpot, describe the board, pair an Apple TV, and the funnel on the wall says the same thing as the funnel in the CRM. That is the whole trick.
Frequently asked questions
How often do HubSpot dashboards refresh?
Every two hours for reports built with the custom report builder, and every 40 minutes for analytics-based dashboard data. You can force a manual refresh once every 15 minutes. New data takes 10 to 15 minutes to appear in a report at all. Those figures are HubSpot’s own, published in its knowledge base.
Does HubSpot have a full screen mode for a TV?
Yes. Open a dashboard, click Actions, and choose Full screen view, which hides the HubSpot navigation. It does not add a display refresh cadence, and the TV still needs a browser signed into a real HubSpot seat.
Can I share a HubSpot dashboard as a public read-only link?
No. HubSpot’s sharing options are emailing the dashboard, posting it to a public Slack channel, and sharing the layout as a template that someone rebuilds in their own account. There is no public URL that renders your dashboard without a login.
Can Dance Party change anything in my HubSpot account?
No. The connection is read-only. It cannot create, edit, or delete a record, move a deal stage, or send email. You approve it on HubSpot’s own sign-in screen and can cut it off from HubSpot’s Connected Apps at any time.
Which HubSpot plan do I need for a dashboard on an office TV?
Any plan that already holds the data you want on the wall. Dance Party reads what your HubSpot user can see, so a ticket queue board needs Service Hub tickets to exist and a pipeline board needs deals.
